Administrative Assistant

JOB OVERVIEW:
The Administrative Assistant is, generally, a part-time or full-time position reporting to and evaluated by the Executive Director and works closely with the teaching team and staff. This is an at-will position as Small Friends. Through the hands-on leadership of our school the love and dedication of our teachers, and our purposefully designed classroom environments, we provide opportunities for children to explore, imagine, and foster a lifelong love of learning. In addition, we build strong ties with parents and communities to share our passion for education and meet children's ever-changing needs.

In a flexible yet predictable schedule, they develop cognitive skills through math, science, social studies, and literacy, they fine-tune social skills through dramatic play and group interactions, and they grow as individuals through physical activities and exploration.

REPORTS TO:        Executive Director
 
WORK ENVIRONMENT:
Classroom setting, office, outdoor playground, basement storage area, and special event locations.
Job involves working:

  • indoors/outdoors
 
KEY RELATIONSHIPS:

Internal:                   Executive Director, Administrative Assistant, Teachers, PTN, and Development Director 
External:                  Parents, Guardians, Potential Donors, Potential Parents, Volunteers, Stakeholders 
 

QUALIFICATIONS

  1. Associate’s degree in early education or in a related field preferred
  2. Teacher Certification by the Massachusetts Dept. of Early Education and Care, or willing to obtain.
  3. Fluency in English both verbally and written.
  4. Ability to handle various tasks and projects simultaneously
  5. Must have excellent communication, supervisory and conflict management skills
  6. Verification of BRC, CORI, and fingerprinting.
  7. Is at least 18 years old.
  8. Must be First Aid/CPR and AED certified or willing to obtain certification.
  9. Ability to:
  • Perform job functions with attention to detail, speed and accuracy.

  • Make decisions to ensure safety and wellbeing of children.
  • Provide accurate and reliable accounts of daily activities. 
  • Be a clear thinker, remaining calm and resolving problems using good judgment.

  • Work cohesively with co-workers, volunteers, and as part of a team.
  • Relate to children and families.
  • Complete other duties as assigned

PHYSICAL ABILITIES

Essential:
1. Exert physical effort in transporting boxes, picking up children, or moving materials.
2. Endure various physical movements throughout the work area.
3. Ability to sit on floor or ground with children.
4. Satisfactorily communicate with guests, management, and coworkers to their understanding.
5. Must be able to supervise children and staff by sight and sound at all times.
6. Must be able to move quickly to react to safety issues.
7. Must remain calm, objective, and respectful in potentially stressful situations (i.e., crying upset child, upset parents, or upset staff)
8. Must be flexible and willing to adjust to change.


ESSENTIAL JOB FUNCTIONS
MA EEC Relations:
  1. Assist with re-licensure visits and preparation.
Teaching and Leading:
  1. Maintain safety and well-being of all children. 
  2. Assist with staff scheduling, supervision, training and orientation of staff
  3. Communicate with families on a regular basis and encourage parent participation on PTN and child care center activities
  4. Help with the general housekeeping tasks. 
  5. Maintain a professional attitude and loyalty to Small Friends. 
  6. Treat all children with kindness and respect. 
  7. Attend all staff meetings, training programs and conferences. 
  8. Supervise and promote activities designed to enhance the healthy emotional, social, intellectual, physical development of children. 
  9. Help to maintain a neat and organized school. 
  10. Attend Small Friends functions. 
  11. Implement all MA EEC rules and regulations.
  12. Report to Executive Director any concern which may occur with the children and/or staff. 
  13. Observe, record, and report on the behavior of individual classroom children. 
  14. Assist with the operations of the center while the Executive Director is not present
  15. Be thoroughly familiar with center policies and procedures to include and are not limited to emergencies, ill children, medications, accidents and field trips
Safety Maintenance Inspections
  1. Assist and maintain safety records for the center per regulations
